Add a custom preferred citation to your eScholarship deposit

Every item deposited to eScholarship is assigned a suggested citation based on the APA citation format. When depositing your publication in the UC Publication Management System, you may choose to add a custom citation in your preferred citation format by adding it to the publication’s manual data record.

Note: We strongly recommend adding the custom citation before depositing to eScholarship. 

  1. Find the publication in the UCPMS
  2. Add or access the Manual data record for the publication
  3. Add your preferred citation
  4. Is the article already in eScholarship?
    1. Publication has not been deposited
    2. Publication has already been deposited
  5. Verify your preferred citation is live

1. Find the publication in the UCPMS

Log into the UC Publication Management System and access the publication information page. Ways to find the publication: 

  1. UCPMS System search

  2. Search the titles of your claimed publications list 

  3. If the article has already been deposited, use the UCPMS ID from the eScholarship “Author & Article Info” tab to obtain the UCPMS Identifier and append it to the below URL to access the publication information page:

    The UCPMS ID 1777771 from the image above becomes:

2. Add or access the Manual data record for the publication

Scroll to the end of the Data Sources section and click the plus (+) icon to add a manual data record.

If there already is a manual data record, click the pencil icon to open the edit view.

3. Add your preferred citation 

Scroll to the Custom Citation box at the bottom of the manual record edit view and input your preferred citation.

4. Is the article already in eScholarship? 

The next step depends on whether the publication is already deposited to eScholarship. 

a. If the publication has not been deposited

Ensure that the Manual data record is set as your preferred source, then deposit your publication.
Check that the star icon is selected for the manual record.

If the publication has been deposited

Contact your campus open access policy support team with at minimum the UC Publication Management System URL for the publication and request that they verify the manual data record.

5. Verify your preferred citation is live

Once your publication is deposited and the manual record approved (if necessary), your preferred citation is visible in the Author & Article Info tab in eScholarship.
